Email - Your Qwik Inbox

Background on the Qwik "inbox" and Uncleared email handling

The Qwik inbox contains only those emails where the email address matches an email address of one of your contacts. Thle idea of the inbox is not to replicate your normal inboxes, but to build a database of emails that link to your contacts so that you can go to any contact and quickly see their history, including incoming emails.

So QSync looks at each email in your email hosting source and checks to see if the address matches an email address of an existing contact (contacts can have several email address, by the way).

If it matches, the contact's ID is attached to the email and the email goes into your Qwik email inbox in the Activities module.

If it doesn't match any existing email address and you have not selected the option to Sync only matching emails in QSync, it is placed in the unmatched email list in QwikTEAM. You then have to clear that list periodically (I do it every day).

Here's the option in QSync to sync only emails where the email addresses matches a contact's email address.

Although you can have an appointment, note, To Do or similar action/activity record that isn't linked to a contact, that's not the case with emails.

Where you get an email into Outlook or one of your other email hosts, and QSync looks at it, QSync decides to import it into Qwik based on the settings in QSync.

Although you can choose not to import any emails that don't match the email address of an existing contact, typically you would import all emails into Qwik and Qwik will decide if the email matches a contact. If there's no match, Qwik puts the email in the unmatched list.

Reviewing your unmatched emails - the advantage

Your unmatched emails will show up in your Home page:

Clicking the mail icon brings up:

By placing unmatched emails in the Email clearing list, you can review the email and:

1. Delete it, or

2. Look up a contact and assign the email to that contact. At that point, you might want to add the email address to the contact so that future emails from that email address get linked automatically, or

3. Use the unmatched email to automatically create a new contact. Qwik will create a contact from the email address, display it to you for modification and allow you to save the new contact. This is ideal, since it saves you a lot of time setting up a contact in advance of receiving such emails.

Once an email is assigned/linked to a contact, that unmatched email then goes into your "inbox".
